Job Description:

JOB PURPOSE:-- -Provide department administrative support to the VP Production and Corporate Production Department associates with daily administrative tasks, data analysis, project level work, travel arrangements and meeting/planning set-up. Duties and Responsibilities-- -Assist in coordination of any production outings and or "summits"-- --- -Gather data for quarterly production ladders, assemble the spreadsheet(s) and distribute-- --- -Gather data and work with VP Production for calculating year end statistics for preparing annual meeting awards and presentations to include Production Department of the Year award-- -Receive monthly 2M reports, collate data, distribute to Divisions and enter data into database-- -Prepare reports for "Division Binders"-- - for quarterly audits of Divisions-- -Prepare and maintain correspondence, miscellaneous documents, MS Outlook Calendar and Contacts and other administrative duties as needed-- -Prepare custom reports/data as requested by Divisions to help meet division goals-- -Work with divisions to strategically maintain and create BuildPro templates-- -Assist in gathering and assembling material for construction portion of the Production Training Program (On3, DRBU)-- -Assist V.P. of Production to drive production training, work with outsources on data acquisition, reports, and creating training-- -Work with Business Systems Administrator on BuildPro training and implementation-- -Coordinate with H2 Survey on invoicing and data sourcing questions-- -Assist in the maintenance and distribution of Production Scopes of Work-- -Assemble monthly reports and distribute to Executive Staff and Divisions. To include Cycle Time, Warranty, Quality, and Customer Satisfaction reports-- -Complete monthly expense reports-- -Assist with data analysis for quarterly Corporate Production Leadership Meeting agenda items-- -Assist with special projects as needed-- -Must have valid driver's license for occasional travel to division offices or offsite meetingsTravel to Divisions periodically to facilitate training QUALIFICATIONS: Knowledge and SkillsMust have high level of interpersonal skills to handle complex situations. Position continually requires demonstrated poise, tact, diplomacy and professionalismMust have knowledge of a variety of software applications in word processing, spreadsheets, database and presentation software (Word, Excel, PowerPoint)Must have basic knowledge of homebuilding and construction schedulingWork requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands Education and Work Experience Bachelor degree in business management, construction management or equivalent education and work experience 1-2 years of previous administrative experience Previous experience with residential homebuilding or architectural support is preferred but not required
