The Operations Department works with all internal departments to facilitate the Foundation's activities. It is responsible for facilities management, information technology, general procurement, human resources, knowledge management, and other initiatives. A successful candidate will be service-oriented and match strong organizational skills and an attention to detail with a sense of flexibility, entrepreneurial spirit, and resourcefulness.The Associate Operations Officer will perform a variety of duties to support the Operations Department and, from time to time, the Legal Department. This position reports to the Associate Vice President of Operations.ESSENTIAL FUNCTIONS The Associate Operations Officer will be expected to perform various functions to maintain an efficient, attractive, and productive office environment, including:

  • Human resources functions
    • Facilitates recruitment, onboarding, and offboarding activities in tandem with other Operations staff.
    • Designs systems and develops policies and procedures for organizational effectiveness and employee satisfaction, including recruitment, policy administration/compliance, employee intranet and employee relations in tandem with other Operations staff.
    • Provides employment support and maintains positive staff relations to successfully resolve staff complaints and issues.
    • Liaises with NIH computer services to provide day-to-day computer, facilities, and A/V support to staff.
      • Vendor management and budget support
        • Provides budget support and maintains sound fiscal practices by preparing expense reports, monitoring spending and auditing and submitting payment requests.
        • Liaises with multiple vendors, including NIH, to maintain strong professional relationships.
          • Administrative and project support
            • Performs duties critical to maintaining an efficient, organized department. This may include answering phones, distributing mail and other related responsibilities.
              • Monitors inventory and orders supplies as needed.
              • Liaises on project support with the Senior Vice President of Operations and General Counsel, Associate Vice President of Operations, and Vice President and Deputy General Counsel as needed.
              • Provides additional administrative "surge capacity" support for the Legal Department as needed, particularly during busy periods.
                • Performs additional duties as required. POSITION REQUIREMENTS:
                  • A bachelors or associate degree in business, non-profit management, IT, human resources, or other relevant discipline is preferred.
                  • Experience with purchasing, budget management, IT, human resources, or facilities management is desirable.
                  • Demonstrated motivation and ability to keep a large volume of tasks and activities meticulously and consistently organized, set priorities, organize workload, handle multiple responsibilities, and meet deadlines.
                  • Ability to handle multiple interruptions and adjustments to priorities throughout the day.
                  • Ability to proactively identify and raise issues that require a response, following up through resolution.
                    • Solid writing and communication skills are a must, including excellent phone and interpersonal skills and an ability to write and proofread for grammar, spelling, and punctuation with a high degree of accuracy.
                    • Willingness and ability to learn and become proficient in new software packages to manage projects, organize work, and perform other IT functions.
