The American Occupational Therapy Association (AOTA), the national professional association established in 1917 to represent the interests and concerns of occupational therapy practitioners and students of occupational therapy, is seeking a Program Manager, Volunteer Leadership & Governance to add to their team.

POSITION SUMMARY: Handles coordination, and project management for Governance.
Primarily responsible for logistical and administrative support of the work of the Volunteer Leadership Development Committee (VLDC), Bylaws, Policies & Procedures Committee (BPPC), Representative Assembly (RA), and the World Federation of Occupational Therapists (WFOT) Delegate team.
Handles direct staff support as liaison to the Awards & Recognitions Committee. POSITION SPECIFIC DUTIES: Handles project management support to the Director of Strategic Governance & Professional Ethics.Handles logistical support to the governance and volunteer leadership project team members, manager(s), and/or director(s). For example: scheduling conference calls, preparing, organizing, distributing, and posting or mailing materials, responding to routine procedural requests, etc.Handles project management to coordinate monthly calendar and task deadlines to anticipate and complete tasks in a timely manner and remind associated project members about task/project due dates.Handles logistical support to volunteer leaders related to governance and volunteer leadership operations. For example: processing of applications; member reports; orientation materials, updating rosters, payments and scheduling of related travel and committee meetings.Distributes and tracks project expense reports and enters them accurately in the online payment system for vendors, volunteers, and staff as requested by project members.Responds to member inquiries related to the governance and volunteer leadership programs and reviews and maintains member resources on the website and in other virtual, online platforms.Under direction of the director(s), supports any volunteer leadership and governance activities related to planning and implementing online, in-person, and hybrid professional meetings and events (including but not limited to assembling meeting materials, distributing announcements, invitations and registration, management of ongoing correspondence with attendees, distributing, collecting, and processing expense reports).Prepares, administers, and coordinates the annual nomination, selection, confirmation, and onboarding processes for all elected and appointed volunteer positions including the online application and subsequent communications.Promotes awareness to members of volunteer leadership opportunities by writing and coordinating promotional copy and works with Marketing and Communications staff to disseminate.Develops and coordinates the schedule for assigned governance bodies and ad hoc group meetings, workflows, and calendars and effectively communicates those with appropriate staff and members.Coordinates tracking, updating, and maintenance of Representative Assembly (RA) policies, procedures, official documents, requests for action, reports, minutes, and action items/motions ensuring they are recorded, disseminated for follow-up, and updated.Coordinates and ensures all governance documents including Bylaws, policies, and procedures are revised in accordance with established timelines and disseminated in appropriate electronic files and on the website.Serves as staff liaison providing direct coordination and support to the Awards & Recognitions Committee with responsibility to prepare and administer the annual nomination, selection, communication, promotion, and operational processes for AOTA awards including planning and logistics for the annual awards ceremony.Develops curriculum and content and handles Staff Liaison Training on policy and procedures related to committee appointments, committee meetings, conflict of interest, use of standard technology, and best practices to facilitate positive relationships with volunteer leaders.Some travel may be needed to assist with onsite registration and other logistics as determined at various meetings or events.Identifies and embraces the AOTA culture values and employ them in all interactions with peers, managers, volunteers, members, and other stakeholders.Demonstrates accountability for the duties and responsibilities assigned to your role.Performs all duties with excellence and integrity and communicates to all AOTA staff, volunteers, and members with respect.Embraces diversity and works proactively with peers and leadership to foster an equitable and inclusive workplace and volunteer culture.Other duties as assigned. Bachelor--------s degree from an accredited institution in customer service, administration, and/or related field.Two to four years of related work experience in an office environment with customer service, administration, in a related field and/or in an Association.A different combination of formal education and experience will be considered.Excellent proofing and grammar skills plus attention to detail.Initiative to find answers, understand processes, seek clarification, and develop or modify procedures for varied tasks to support efficient and effective operationsRequires proven analytical, research and project management skills.
Strong attention to detail and a commitment to quality and accuracy.Must demonstrate good judgement and business skills, a high level of organizational and time management skills, and flexibility in competently juggling competing priorities and changing expectations.
Experience using an association management system (AMS), board management software, and application and review platform is beneficial but not required.Excellent written and oral communication and interpersonal skills to support frequent cross-functional and collaborative teamwork.The position exercises moderate influence upon the actions or operations of others and has a moderate impact on the activities of AOTA.
Requires moderate problem solving, judgment and/or innovative thinking to accomplish very broadly defined and/or technically complex responsibilities of the position. The work may involve the development of recommendations for the division/department goals and projects.
Receives broad work direction and objectives.
Broad latitude is given to determine approaches, procedures, and methodologies for accomplishing the work of self and others.
Receives administrative review.Occasional travel and evening conference calls may be required.Candidates for this position will be required to undergo a background check, as AOTA is subject to the Payment Card Industry Data Security Standard (PCI).
